In 1999 the Diocese of Virginia joined the National Payroll Account Program. This program provides the Episcopal Churches and related institutions with a standardized and Episcopal church-specific payroll service at a very reasonable cost.

Using this service, the Diocesan Office is offering to provide a service, which will relieve you of the responsibility of processing your own payrolls. Also, Paychex, the servicer for the account, assumes the responsibility for proper payment of all payroll taxes.

What are the advantages to you?

1. Clergy compensation is handled according to IRS regulations.

2. The diocese acts as facilitator and the church receives reports, checks and vouchers directly.

3. Semi-monthly and monthly payrolls are allowed and you need to report ONLY changes and hours for hourly employees.

4. Paychex makes ALL tax deposits (from your account), files all tax reports. 

5. Employees’ checks can be deposited directly into their bank accounts. This is on a “per employee” basis so it is not necessary for everyone to choose this option.

6. “New Hire” reporting will be done automatically. This is required by the Commonwealth of Virginia.

7. The Church saves Time and Money.

How much does it cost?

There is a one-time Paychex set-up charge of $100. Per Payroll charges are $7.00, plus $1.65 per check, and shipping.  This is about a 35% savings over Paychex usual fees.

How does it work?
The process is simple! The Diocesan Office will set up your payroll on Paychex’s software as a separate company code using your federal tax identification number for tax filings. You provide your payroll data to the diocesan office who will enter and transmit your payroll. Paychex generates the checks and reports, prepares the tax filings and debits your bank account for the taxes and fees. Paychex will then send the paychecks and reports directly to you via FedEx overnight.
